This guide is part two of our series on organizing tags in Keap CRM. The first step to managing tags effectively is eliminating confusion, which we covered in Part 1: Eliminating Brain Fog Around Tags. Now, we will focus on how to properly organize your tags within Keap to create a structured, scalable system.
By following a consistent tag naming strategy and utilizing Keap’s built-in organization features, you can ensure your CRM remains easy to use and navigate.
How Tags Are Organized in Keap
The way tags are named determines how they are organized. Every tag should follow a structured format with three key elements:
Tag Detail – What the tag is tracking (e.g., "Clicked a Link," "Watched a Video").
Tag Group – The phase or segment of the customer’s journey the tag belongs to.
Tag Type – Defines whether the tag is a Button, History, or Status tag.
Recommended Tag Naming Format
The best practice for naming tags is:
Tag Group: Tag Detail
This structure keeps things clear and consistent, making it easy to filter and identify tags.
Tag Naming Examples
Ultimate Case Study: Start Automation (Tag Group = "Ultimate Case Study", Tag Detail = "Start Automation")
Quote to Close: Scheduled Calendly (Tag Group = "Quote to Close", Tag Detail = "Scheduled Calendly")
For clarity, you can shorten tag group names (e.g., "UCS" instead of "Ultimate Case Study") to keep names concise.
Tag Types and Categories
In Keap, there are three approaches to incorporating tag types into your naming system:
Omitting Tag Type – Rely on the tag name itself for clarity (easiest and cleanest approach).
Embedding Tag Type in the Name – Not recommended as it clutters tags (e.g., "Button - Start Automation").
Using Keap’s Tag Categories – The preferred approach, as it allows for proper organization.
Recommended Approach: Using Keap’s Tag Categories
Keap provides Tag Categories to group similar types of tags. By assigning tag types to categories, you ensure a clean, structured system. For example:
Button Tags → Categorized under "Button"
History Tags → Categorized under "History"
Status Tags → Categorized under "Status"
This method keeps tags easy to manage while avoiding redundancy in naming.
Making Tag Organization Easy
While following a strict naming convention is essential, ensuring every team member adheres to it consistently can be a challenge.
Introducing "Tag Genie" – A Tag Management Tool
To simplify tag management, the Tag Genie tool is introduced as a solution for:
✅ Creating new tag groups and tags while enforcing naming rules
✅ Easily renaming or editing existing tags to fit the conventions
✅ Syncing all tag changes back to the Keap account
By using Tag Genie, businesses can efficiently manage their tags without relying on manual oversight.
